Hourly Time Entry
Access this page using Action>Time Entry. |
Use this page to enter your hourly time using time settings you select from drop-down lists. This page allows you to specify when you clocked into work, when you left for lunch, when you returned from lunch, and when you clocked out. This page automatically calculates the total number of hours you worked based on the start and end times you specify. This page also allows you to specify one or more cost centers and wage codes for time worked and provide a description for your work hours.
The timesheet entry page listed under the Actions menu item in EWS is based on the timesheet entry page defined for your employee ID in the HR Management module and EWS system settings. Procedures
Fields
Date: Select the month, day, and year for which you are entering time using the calendar or click Today. The system displays the day of the week, month, day, and year selected.
Clocked In: Select the time you began working from the drop-down list.
Break 1 from: Select the time you went on break from the drop-down list.
Break 1 to: Select the time you returned from break from the drop-down list.
Lunch from: Select the time you went to lunch from the drop-down list.
Lunch to: Select the time you came back from lunch from the drop-down list.
Break 2 from: Select the time you went on break from the drop-down list.
Break 2 to: Select the time you returned from break from the drop-down list.
Clocked Out: Select the time you finished working for the day from the drop-down list.
Lunch Break Taken: Select this check box if you are required to report on whether you went to lunch. For example, some grants require this information for reporting purposes. If you specify a time in the Lunch to field, EWS automatically selects this check box for you.
Total Hours Worked: The system displays the total hours worked for the day based on the information you entered in the Clocked In, Lunch from, Lunch to, and Clocked Out fields. You cannot edit this field.
Cost Center: Select which cost center your time is associated with from the drop-down list. The cost centers displayed in the drop-down list are the cost centers specified for your employee ID in the HR Management module. For more information about specifying cost centers for employee IDs, see the HR Management module online help. If you need to divide your work hours among one or more cost centers, click the title row to insert another row at the bottom of the table and then enter information as appropriate. Wage Code: Select which wage code your time is associated with from the drop-down list. The wage codes displayed in the drop-down list are wage codes set up in the Payroll module then assigned to your employee ID in the HR Management module. For more information about specifying wage codes for employee IDs, see the HR Management module online help.
Hours: Enter the number of hours worked. If you performed work for more than one cost center, enter the number of hours worked into the appropriate cost center row.
Description: Enter a description for the work.
Approved: Shows if a manager has approved the time entry. If a manager has not yet approved the time entry, the Approved check box is cleared and you can still edit the time entry. If a manager has approved the time entry, the row displays in green, the Approved check box is selected, and you can no longer edit the time entry. For example, assume you entered your work time, then later realized you needed to change a cost center or wage code for some of your work hours. If a manager has not yet approved your time entry, you can go back and change this information. However, if your manager has already approved your timesheet, you can no longer change this information. If you need to change your timesheet after a manager has approved it, you can send the manager a message asking the manager to reject the timesheet. Once the manager rejects the timesheet, you can go back into your timesheet and edit it.
Buttons
Save: Click this button to save your time entry.
- If a manager has approved a time entry, the row displays in green, the Approved check box is selected, and you can no longer edit the time entry.
- If a manager has not yet approved a time entry, you can go back and change time entry information.
- If you need to change a time entry after a manager has approved it, you can send a message to the manager and ask the manager to either edit your time entry or reject your time entry. If the manager rejects your time entry, you can go back and edit your time entry.
