Approve Change Requests

Access this page using HR Staff>Approve Change Requests.

Use this page to process change requests sent by employees to Human Resources. For more information, see Viewing and Processing Employee Change Requests.

Note: To view this menu, your Employee ID must have the HR Staff check box selected in the Maintain>Timesheets Setup>Employee Timesheet Settings>Employee Settings tab in the HR Management module.

You can filter the change requests displayed by employee ID, name, request date, and request type. To filter, click on the filter icon filter icon displayed in a column heading and then click on the filter you want to use. When you click on a filter, the filter criteria associated with the filter displays the data that meets the filter you selected and hides data that does not meet the filter criteria.

For example, you can filter by name to see all change requests from a specific employee.

To view and process personal information change requests from employees

  1. Access the Approve Change Requests page using HR Staff>Approve Change Requests.
  2. Note: To view this menu, the Employee ID must have the HR Staff check box selected in the Maintain>Timesheets Setup>Employee Timesheet Settings>Employee Settings tab in the HR Management module.

  3. The system displays the requests in the order that they were received and all requests are designated with the status of Hold.
  4. If you want to filter the list of change requests, you can filter by employee ID, name, request date, and request type. To filter, click on the filter icon  displayed in a column heading and then click on the filter you want to use. When you click on a filter, the filter criteria associated with the filter displays the data that meets the filter you selected and hides data that does not meet the filter criteria. For example, you can filter to see all change requests from a specific employee.
  5. If you want to reject the change request, enter the reason for your rejection in the Remarks field, click the Reject option, and then click the Save button.
  6. If you want to approve the change request, enter the reason for your approval in the Remarks field, click the Approve option, and then click the Save button. When you approve a change request to personal information, the system automatically updates the employee record in the HR Management module with the new information.

Fields 

Employee ID: The system displays the employee ID for an employee who has requested a change to their personal information.

Name: The system displays the name of the employee requesting a change to their personal information.

Request Date: The system displays the date the employee requested the change to their personal information.

Request Type: The system displays the field the employee elected to change of their personal information.

Change: The system displays information about the personal information change that the employee requested. .

Remarks: Enter any remarks for approving or rejecting the change. This is an optional field. Enter a reason before clicking the Save button if you want your reason included in the message sent an employee when you accept or reject a personal information change request. .

Hold: They system displays all changes requests with this option selected. All change requests with this option will remain in the HR Staff>Approve Change Requests page until Approve or Reject is selected and the Save button clicked.

Approve: Click this option to approve the requested change to the employee's personal information. You can write notes in the Remarks field before you click the Save button. When you approve a personal information change request, the employee who made the request receives a message notifying them that their request was approved. If you specified the reason in the Remarks field, the employee will also see the reason for the approval. The system automatically updates the employee record in the HR Management module with the new information when you approve a change request to personal information.

Reject: Click this option to reject the requested change to the employee's personal information. You can write notes in the Remarks field before you click the Save button. When you reject a personal information change request, the employee who made the request receives a message notifying them that their request was rejected. If you specified the reason in the Remarks field, the employee will also see the reason for the rejection.

Buttons 

Cancel: Click this button to return all the change requests to the Hold option and removes any reasons entered in the Remarks field. All change requests with the Hold option will remain in the HR Staff>Approve Change Requests page until Approve or Reject is selected and the Save button clicked.

Save: Click this button to send the employee who made the request a message notifying them that their request was approved or rejected. If you specified the reason in the Remarks field, the employee will also see the reason for the approval or rejection. The system automatically updates the employee record in the HR Management module with the new information when you approve a change request to personal information.
