Approve Leave Request - Manager

Use this page to approve or reject employee submitted leave requests, if you are a manager and have Manager timesheet permissions in the HR Management module.
- When one of your employee enters a leave request, you receive a message in the Message Center, prompting you to approve or reject the request.

- After you approve a leave request, EWS sends a reminder to the employee a week before the scheduled leave to remind them to enter the leave time on their timesheet.
This page displays a selected employee and allows managers to quickly see requested and approved leave requests by employee for the current and future pay periods. Managers see only the submitted leave requests for the employees they manage on this list. Employee/manager relationships are specified in the HR Management module. You can do the following on this page:

You can approve, cancel, hold, or reject the employee’s submitted leave requests. This will automatically send a message to the employee’s Message Center. Note that a message will not be sent, if Hold or Cancel is selected for a submitted leave request.

You can add or edit the employee’s submitted leave requests.

You can delete the employee’s submitted leave requests.

You can calculate the employee’s leave balance.
If the EWS system configuration specifies Approver Edit permissions for managers, managers can change employee leave requests before approving an employee leave request. For example, managers with Approver Edit timesheet permissions can change the start or end date, hours requested, and request type for employee leave requests before approving them.
If the EWS system configuration does not specify Approve Edit permissions for managers, managers can only approve the employee’s leave request. They cannot edit employee leave request information. If a manager wants to change any employee leave request information before approving the entry, the manager must send a message to the employee requesting that the employee make the required changes to the leave request before the manager approves it.

Note: This is for scheduling purposes only. Leave requests will not be reflected on timesheets. Once approved, employees must enter their leave entry using .
Fields
Employee Name: Click the drop-down list to select an Employee. The system displays the Employee ID, Name, and Number of Active Leave Requests.
Include Past Requests: Select this check box to display past leave requests in the Leave Request Table.
Requested: The system displays the number of hours that have been requested with the status of Request.
Approved: The system displays the number of hours that have been approved by the Manager.
Total Hours: The system displays the total hours of leave that have been requested.
Leave Calculation Table: The system displays the following information.
- Leave Code: The system displays the Leave Codes entered on the employee’s timesheet.
- Beginning Balance: The system displays the beginning leave balance in hours.
- Current Activity: The system displays the leave entered on the employee’s timesheet for this pay period and is based on the Leave Code pay frequency.
- Current Balance: The system displays the current balance for each Leave Code. The system calculates the balance by adding the beginning balance and removing the current activity.
- Pay Period Accrual: The system displays the leave accrual amount for this pay period.
Leave Request Table: The system displays the following information.
- Start Date: The system displays the start date, entered on the leave request.
- End Date: The system displays the end date, entered on the leave request.
- Hours Requested: The system displays the hours of leave requested, entered on the leave request.
- Request Type: The system displays the request type, selected on the leave request.
- Approved: Select the check box to display the Approve Leave Request page. If the leave request has been approved by your manager, the box will display as checked and the Status field will be updated. For more information, see Approving Leave Requests.
- Approved/Rejected By: The system displays the Employee ID of the person who approved or rejected the leave request.
- Approved/Rejected Date: The system displays the date the leave requested was approved or rejected.
- Status: The system displays the status, selected on the leave request.
- Employee Comments: The system displays the employee’s comments entered on the leave request.
- Manager Notes: The system displays the manager’s comments entered on the Approve Leave Request page.
Buttons
Add: Click this button to open the Add/Edit Leave Request page.
Edit: Select an existing leave request and click this button to open the Add/Edit Leave Request page and make changes to the leave request.
Delete: Select an existing leave request and click this button to delete the selected leave request. You will be asked to confirm the delete.
Calculate: Click this button to display the Leave Balance Calculator page and to calculate your leave balance. This tool lets you estimate your leave balance for a future date, so you can estimate how much time you can take off.
